Yes — in Phase 0 we mirror your existing Smartsheet workspaces read-only via the Smartsheet API. Your team keeps editing in Smartsheet day one. Phase 4 ships a one-shot ETL importer that snapshots the structured columns into AiTCRM as native records, with a column-mapping pass we run with you.
No. The phase model is explicitly designed so Smartsheet stays live until you don’t need it. Most customers run side-by-side through Phase 3, then sunset Smartsheet in Phase 5+ on their own timeline. You never get stuck with an incomplete migration.
Yes. AiTCRM ships with a HubSpot bi-directional sync so contacts, companies, and deals stay aligned during transition. Sales keeps logging in HubSpot if they want; ops works in AiTCRM. When you’re ready, you flip the SoR designation and the sync becomes one-way out to HubSpot for any team that hasn’t moved.
AppDirect remittance files drop into a watched mailbox or SFTP folder. AiTCRM parses them, matches each line to the originating deal, runs your sub-agent split logic, and posts to the partner ledger. Discrepancies between expected and paid land in an exception queue with one-click create-a-ticket-to-AppDirect. No spreadsheet, no manual VLOOKUP.
Yes. Each partner gets a tenant-scoped portal under your brand — deal pipeline, commission statements, document upload, and a request inbox that flows directly into your ops queue. White-label ships standard on Growth and Enterprise; partners never see “Intelligent IT” unless you want them to.
Partner onboarding runs through a guided flow: W-9 upload (or W-8 for non-US partners), Plaid-verified bank account, signed master agreement, and any carrier-specific forms. Documents land in your DMS with audit trail. For payouts, we use Plaid Transfer where eligible with a manual ACH fallback — banking compliance is fully gated on KYB, not bolted on after.
The Provider Ops layer is built around the assumption that carrier portals will change. Each carrier integration runs behind a fault-isolated worker with monitored health checks. When a portal flow breaks, the worker fails closed (not silently), the affected deal is flagged in your queue with a manual-fallback prompt, and our team gets paged. Median fix time on carrier-portal regressions to date: under 48 hours.
Starter: 4 weeks — one tenant, one carrier, foundation through Phase 2. Growth: 12 weeks — up to three tenants, top three carriers, foundation through Phase 4. Enterprise: scoped in discovery, typically 16–26 weeks for multi-region rollouts. Phase 0 mirroring goes live in week 1 of any tier so your team has visibility while the rest is being built.
